Privacy Notice for the Coworking Booking Software

The following information informs you about which personal data we process in the context of registering and booking coworking workspaces via our booking software. This information supplements Dollea’s general privacy policy, available at https://dollea.de/datenschutz/ .

1. Controller

2. Which data are processed?

In particular, we process the following categories of personal data:

  • Master data: Name, if applicable company name, contact details (telephone, e-mail), billing address.
  • Registration and account data: Login data (e.g. e-mail address), password (encrypted), language settings.
  • Booking data: booked workspaces / rooms, date and time of use, price, selected payment method, booking status.
  • Contract and communication data: confirmation and system e-mails (e.g. “Booking Confirmation”), content of your messages to us in connection with the booking.
  • Technical data: IP address, time of booking, if applicable technical log data to ensure technical operation and for error analysis.

With each booking, the version of the Terms and Conditions (AGB) accepted by you is stored together with the booking. This version of the Terms and Conditions (AGB) is made available to you in the booking confirmation (“Booking Confirmation”) by e-mail (attached or linked).

3. Purposes and legal bases of processing

We process your personal data for the following purposes:

  • Performance of the contract: creation and administration of your user account, receipt and processing of your bookings, preparation and performance of the use of workspaces and rooms, invoicing and payment processing.
  • Communication: sending booking confirmations, reminders, organisational information and important notices regarding use.
  • Compliance with legal obligations: retention obligations under tax and commercial law, documentation obligations.
  • Security and misuse prevention: ensuring technical operation, prevention and investigation of misuse or attacks on our systems.

The legal bases are in particular Art. 6(1)(b) GDPR (performance of a contract and pre-contractual measures), Art. 6(1)(c) GDPR (legal obligations) as well as Art. 6(1)(f) GDPR (legitimate interest in secure and efficient operation of the booking software).

Insofar as we base individual processing operations on consent (Art. 6(1)(a) GDPR), this is requested separately and may be revoked at any time with effect for the future.

4. Recipients and disclosure of data

To provide the booking software and for technical processing, we use external service providers (e.g. hosting providers, e-mail providers). They process personal data exclusively in accordance with our instructions and on the basis of a data processing agreement pursuant to Art. 28 GDPR.

For payment processing, depending on the selected payment method, additional payment service providers (e.g. banks, PayPal) may be involved. In this case, data will only be transmitted insofar as this is necessary to carry out the payment. The further processing by the payment service provider is subject to its own privacy policies.

No further disclosure of your data to third parties takes place unless we are legally obliged to do so or you have expressly consented.

5. Storage period

In principle, we store your personal data only for as long as is necessary to carry out the booking, to perform the contract and to comply with any legal obligations.

  • Booking and invoicing data are generally retained in accordance with statutory retention periods (e.g. under commercial and tax law) for up to 10 years.
  • Technical log data may be stored for a limited period for security reasons and then deleted or anonymised.

After that, the data will be deleted or their processing will be restricted, provided that no other legal basis (e.g. legitimate interests) prevents this.

6. Your rights

Within the scope of the statutory provisions, you have the right at any time to obtain information about the personal data concerning you (Art. 15 GDPR), to rectification of inaccurate data (Art. 16 GDPR), to erasure (Art. 17 GDPR), to restriction of processing (Art. 18 GDPR), to data portability (Art. 20 GDPR) as well as the right to object to certain processing operations (Art. 21 GDPR).

If processing is based on consent, you have the right to revoke this consent at any time with effect for the future, without affecting the lawfulness of the processing carried out up to the time of revocation.

In addition, you have the right to lodge a complaint with a competent data protection supervisory authority if you are of the opinion that the processing of your personal data violates data protection provisions.

7. Note on confirmation with each booking

By submitting each booking via the booking software, you confirm that you have taken note of this privacy notice. The version of this notice applicable at the time of booking is stored together with the booking and made available to you in the booking confirmation (“Booking Confirmation”) by e-mail.
